Drowning in retreat admin? Name the tasks, then delete them

"Admin" is a fog word. It makes the problem feel like weather, something that just happens to you. It is not weather. It is a list of specific, deletable tasks. So let us name every one, say what it actually costs you, and go through how each one disappears.

The real list

Tell us if this is close. You are chasing a deposit from someone who said "yes definitely" nine days ago. You are copying a booking from Instagram DMs into a spreadsheet. You are answering "is there a payment plan?" for the fourth time this week, on three different apps. You are texting waiver reminders. You are matching bank transfers to names. You are updating dates on a website you are scared to touch. And you are doing all of it in the evenings, because daytime is for actually running retreats.

None of that is a business. It is glue between tools that were never meant to work together: a booking form here, payment links there, a spreadsheet holding it all upright.

Delete them one by one

Chasing deposits and balances

This one hurts the most because it mixes money with awkwardness. The fix is a checkout that takes the deposit the moment someone says yes, then collects the balance on a payment plan automatically. No reminder texts, no "just checking in". The card is charged on schedule and you get told when it lands, not asked to make it happen.

Answering the same questions forever

"What is included?" "Can my friend join?" "Is the deposit refundable?" You could answer these in your sleep, which is roughly when people ask. The spreadsheet

The spreadsheet exists because your bookings happen in five places. Put booking in one place and the spreadsheet dies on its own. One dashboard: who booked, who paid what, who still owes, who signed their waiver, how much revenue this retreat has done. You check it, you do not maintain it.

Waivers and guest details

Stop collecting these by message. They belong in the booking flow: guest books, guest gets the waiver, you see who has signed. The chasing happens automatically, politely and without you.
