Gatheround Ltd (“Gather”, “we”, “us” or “our”) is a private company limited by shares, registered in England and Wales with company number 17224436.
Gather’s core business is the provision of booking software and growth services for retreat businesses, event hosts and festival organisers (our “Services”). For the purposes of data protection law, for certain activities we are a data processor acting on the instructions of our customers (“Hosts”). In other circumstances we act as a data controller. This privacy policy addresses personal data processing we carry out in those circumstances.
02 Scope
This Privacy Policy (“Policy”) applies to anybody who browses our website at try-gather.co (the “Website”). It also applies to those who request communication or services via the Website, those who submit material through the Website, and to personal data processed in pursuit of our own marketing and business development efforts. We may also ask you for personal data when you report a problem on the Website. Please also review our Cookies Policy, which forms part of this Policy.
Hosts who use Gather may also have their own privacy policy for their guests. This Policy does not apply to the personal data of our job applicants, employees, agents and contractors. Those categories of data are covered by other company policies.

06 Third parties
We use third-party suppliers to run our business and Services, including but not limited to customer relationship management systems, payment providers, analytics tools, hosting providers and marketing agencies. These suppliers give contractual undertakings to safeguard personal data disclosed to them in the course of providing such services. We reserve the right to disclose personal data to Hosts or suppliers for fraud monitoring and reducing credit risk. Our legal basis for that processing is our legitimate interests, namely protecting our business and our Hosts’ businesses and legal rights.

07 International transfers
We work with suppliers, some of whom have branches outside the European Economic Area (“EEA”). Any transfers of your personal data outside the EEA take place only subject to appropriate safeguards under data protection law.
Personal data may in limited circumstances be shared with affiliates in order to provide and/or develop our Services, or where another legitimate interest identified above applies. Gather remains responsible for the security of personal data accessible by overseas affiliates.

We are committed to respecting your statutory rights. If you send us a request regarding your rights under data protection law we will respond within one month of receipt and, where possible, address your request within that time. Where necessary, this period may be extended by up to a further 60 days.
You are under no statutory or contractual obligation to provide personal data to Gather. If you do submit personal data, you may have the following rights as a data subject:

If that is the case, we will tell you when we respond.
Gather does not engage in automated decision-making that produces legal or similarly significant effects for individuals.

09 Retention period
Gather retains personal data within the scope of this Policy until you ask us to securely dispose of it, until it becomes outdated, or until it is no longer appropriate for us to retain it. It is your responsibility to tell us about material changes to your personal data so we can keep it accurate. Outdated personal data is deleted periodically in line with our internal retention practices, which are available on request.
10 Security measures
We take technical and organisational measures so that our own and our suppliers’ information security standards are appropriate to the risks associated with the personal data processing we undertake. Our security objectives include the confidentiality, integrity and availability of personal data and the resilience of the systems that process it.
If we provide you with login details, it is your responsibility to keep them secure and confidential. We will not be held liable for breaches arising from improper use of the Website or disclosure of your login details to a third party.
